Official Tour

Terms and Conditions

Deposit:
A request sent prior to October 1, 2008, requires a deposit of $600 per person. Requests received on or after October 1, 2008 will require full payment.

Final Full Payment:
Full payment of the entire amount of the tour is due no later than October 1, 2008 or at the time of reservation, if after October 1, 2008.

Cancellation and Refunds:
Full refund of deposits will be given for written cancellations received prior to September 1, 2008. A $450 per person charge will be assessed for cancellations received after September 1, 2008. No refunds for cancellations received after October 1, 2008 will be made unless a qualified replacement can be found and the space resold by tour personnel only at full value with a $350 per person charge. For refunds, a ticket broker is not considered a qualified replacement. No refunds will be issued for unused accommodations and features included in the tour.

3rd and 4th Persons in a Room and Rollaway:
Rooms with double beds can accommodate a maximum of four people, no rollaway allowed. Rooms with a king bed can accommodate a rollaway bed for an extra charge. The Langham Hotel provides rooms with a king bed only. All requests are subject to confirmation from hotels.

Smoking Rooms:
Smoking is not allowed in the hotel rooms. Some hotels provide a very limited number of rooms with balcony or patio for smoking, if available, at an additional charge. You must request when making the reservation.

Young Children and Mobility Impaired:
Substantial walking distance and limited accommodations for devices such as car seats, strollers and wheelchairs make their use difficult. With adequate notice, the Association will make reasonable effort to assist guests requiring special arrangements. A fit and able companion must accompany guest and be completely responsible for providing assistance with walking, dining or other personal needs. Individual assistance is not provided. You must provide your own wheelchair if needed.

Tour Change Liability:
Tour participants may receive a full refund if drastic changes are made by the Association to the itinerary, components, or prices of the tour provided that the participant requests such a refund in writing within 10 days of the change. A drastic change is a substitute hotel not listed in the brochure, cancellation or significant change of a major component or a price increase of more than 10 percent occurring 10 or more days before arrival. Price cannot be increased less than 10 days before departure. A full refund will be given if the Association cancels the tour. Rose Parade and Rose Bowl Game tickets are included at established face value and will not be increased under any circumstances. The rights and remedies made available herein are in addition to any other rights or remedies available under applicable law. Refunds accepted under these terms are made with the express understanding that the receipt of such refund by a participant waives any additional remedy.

Insurance:
Trip cancellation, health, accident and baggage insurances are available on an optional basis through a third party. Trip cancellation coverage provides for reimbursement of prepaid, non-refundable travel arrangements in the event that death, accident or sickness of the insured or his/her immediate family prevents him/her from departing on the trip or forces his/her return prior to the specified date of return. Guests can secure their own insurance or applications. Said general insurance is strongly suggested and the information can be sent upon request.

Responsibility:
The Association acts only as an agent for the various owners or contractors providing means of transportation or other services. All tickets and coupons are issued subject to any and all terms and conditions under which such means of transportation or other services are offered or provided, and the issuance or acceptance of such tickets and coupons shall be deemed to be consent to the future conditions that the Association, its officers, directors, members and /or employees shall not become liable or responsible in any way in connection with such means of transportation or any other services, for any loss, injury or damage to or in respect to any person or property, howsoever cause or arising. The Association reserves the right to withdraw the tour at any time or to make changes in the published itinerary whenever, in its sole judgment, conditions warrant or if it deems it necessary for the comfort, convenience, or safety of the tour. Additional gratuities for tour guides and drivers will be at your discretion.

Non-Commercial Use:
The Official Tour is for the private and non-commercial use of participants. Sale is not commissionable to Travel agents. Tour packages may not be used for commercial promotion or other commercial purposes without the advance written approval of the Tournament of Roses.
